Any complaint will be handled in compliance with the Institution’s Consumer Complaints Policy. Breaches of customer privacy are considered serious employee misconduct and may result in termination of the employee.
PURPOSE:
Several regulations applicable to banks contain provisions which address procedures for a consumer to follow when filing a complaint regarding discrimination or other improper conduct by a bank with the bank's regulatory agency. No single regulation sets forth the guidelines with respect to the method a bank should use to handle these complaints, but over the past few years regulators have come to expect certain minimum procedures to be in place.
STATEMENT:
All officers and employees of the Bank will immediately direct any written consumer complaint which is received from a customer, or from the Bank's regulatory agency, to the Bank's Compliance Officer or an individual designated by the Compliance Officer. The Compliance Officer or a designee will keep a log book of incoming complaints noting the date of receipt, name and address of the complainant and a short summary of the complaint. After issuing a number to the complaint, the Compliance Officer or a designee will investigate, document and formulate a reply to the complaint, addressed to the regulatory agency and/or to the consumer, as appropriate, within any time limits set forth in any regulator's cover letter accompanying the complaint. Upon completion of the investigation, this response and all documentation will be forwarded to the Compliance Officer or a designee who will add a short summary of the reply and the date of response to the log before sending the response to the inquiring regulator and/or consumer.
RECORD RETENTION:
The Bank will retain copies of such complaints, together with all documentation and responses, in a separate file for a period of two years after the last activity on the complaint or until the Bank's next full examination.
